How to see and fulfil your orders

Short answer: click Orders in the sidebar. Every order is there, with a Source column showing whether it came from your storefront, WhatsApp or a draft you made yourself. Open an order to confirm it, book the courier and update its status.

Step by step

  1. Open your orders. Click Orders in the sidebar. New orders appear at the top. You can filter by status or search by order number, customer name, phone or email.
  2. Check where it came from. The Source column shows Storefront, WhatsApp or Draft, and the payment badge shows things like "Cash on Delivery · Awaiting Payment" or "Bank Transfer · Receipt pending" at a glance.
  3. Open it and check the details. Click the order number. You get the full timeline, the items, the delivery address and the payment status in one dialog.
  4. Verify it if it needs verifying. An order sitting in Awaiting Verification is a Cash on Delivery order waiting on a check, or a bank transfer waiting on a receipt. Use Verify on WhatsApp to message the customer, or Mark Verified if you are already satisfied.
  5. Move it to Processing. Once you are happy, move the order to Processing. That is your signal that you are packing it.
  6. Book the delivery. In the Shipping section, choose your courier, enter the parcel weight and any special instructions, then Book Shipment. The order moves to Shipped automatically when the booking succeeds.
  7. Print the waybill. Download the waybill PDF and tape it to the parcel with the barcode flat.
  8. Mark it delivered. When the courier confirms delivery, Mark as Delivered. Delivered and Cancelled are final — there are no further actions after them.

What each status means

Orders move through a fixed pipeline. Knowing what each one means saves a lot of confusion:

You can select several orders with the checkboxes and move them all to the next status at once, which is much faster on a busy day.

Taking an order by phone or WhatsApp

Use the Create Order button at the top of the Orders page. It asks for three things: the customer (search an existing one or add a new name and phone), the items and quantities with editable prices, and any notes. It creates a Draft order that then follows the normal pipeline.

Always record WhatsApp orders here. Merchants who keep them in their head lose track of stock, cannot see which products really sell, and have no customer list to message when new stock arrives. It takes a minute and it compounds.

Checking a risky Cash on Delivery order

On an order awaiting verification you also see a customer Trust Score. Use it as a prompt, not a rule — for a large order it is worth a quick WhatsApp before you spend money shipping it. A refused parcel costs you both delivery legs.

Bank transfer receipts

When a customer pays by bank transfer they upload a receipt. You see the image on the order and either Confirm or Reject it. Rejecting asks you for a reason, which the customer sees so they can upload the right one.

Changing an order after it is placed

Use Edit Order to change items, quantities, prices or the address. The dialog shows the full subtotal, shipping, tax, discount and total breakdown, and recalculates when you save. An "Order updated" entry is added to the timeline that the customer can see, and if the Order Updated email is switched on they are emailed as well. If the total went down after the customer already paid, the dialog reminds you to refund the difference.

Common questions

Where do I see WhatsApp orders?

Orders → All Orders. The Source column marks them as WhatsApp. If you took the order in chat yourself, use Create Order so it appears here too.

What does "Awaiting Verification" mean?

It is a Cash on Delivery order waiting on your check, or a bank transfer waiting on the customer's receipt. Clear it with Verify on WhatsApp or Mark Verified, or by confirming the receipt.

Does the customer get told when I update the status?

Yes, provided the order has an email or phone on it and you have not switched those notifications off in Settings → Notifications. Keeping statuses current stops most "where is my order" messages.

Can I edit an order after it is placed?

Yes, while it is still editable. Use Edit Order to change items, quantities, prices or the address. The change is added to the timeline and the customer can be emailed about it.

Can I update several orders at once?

Yes. Tick the checkboxes on the orders list and use the bulk status buttons that appear.

Can I un-cancel an order?

No. Delivered and Cancelled are final states with no further actions. If a cancelled customer wants to buy again, create a new order.
